For groups and institutions
This page is for whoever organizes an academic trip for their own group, their own student body or their own university, and then has to get it approved by someone else.
On this page
It is written to be read by two people at once: the person who wants the trip to happen, and the office that has to sign it off. Nothing on it is addressed to only one of the two.
How it works, in four steps
The timings below are ours: the days we need, not the days your institution needs. Your own internal deadlines are yours, and they are usually earlier than you think.
| Step | What happens | How long we take |
|---|---|---|
| 1 · Request | You tell us how many people, how many days, which subject and which month. No telephone call required: the form at Build your program covers it | — |
| 2 · Quotation | We send a written quotation: program, dates, minimum and maximum participants, what is included and what is not, how long the offer stands | 2 working days |
| 3 · Confirmation and contract | Delivery contract signed by the institution, deposit, and we start booking the visits | from your confirmation |
| 4 · Final list and documents | Participant list, letters of admission, insurance, day-by-day schedule for that specific intake | names 30 days before departure |
Detailed visit dates are confirmed to you after step 3 and not before, because two of the venues on a typical itinerary accept requests without committing to a date. The number of stops does not change; the names can.
Who pays, and what gets signed
This is the block that decides whether a trip happens, and it is the one almost no provider writes.
A student body at a large university often cannot pay a supplier directly. Purchasing, invoicing and payments go through the institution's own administration, and payments into personal accounts are normally prohibited outright. Where that is the case, the contracting party is the institution, not the group and not the individual student, and we are set up to work that way: company data, tax data, bank details, supplier-registration form and downloadable documents are all on the Supplier information page.
We do not claim to know your institution's internal procedure better than you do. We offer both routes — one invoice to the institution, or individual enrolments — and we ask which one you need. Whichever it is, we confirm in writing who signs and who is invoiced before issuing any document.
Three documents get signed, in this order, and nothing else. There is no framework agreement to sign first, and we do not ask for exclusivity.
| Document | When | What it contains |
|---|---|---|
| Quotation | within two working days of the request | program, dates, minimum and maximum participants, what is included and what is not, validity of the offer |
| Delivery contract | on confirmation | obligations of both parties, calendar, cancellation terms and penalties, cover, jurisdiction and governing law |
| Participant list | by the confirmation deadline | names, documents and the data needed for the letters of admission and the policy |
Group size, and why
- Minimum
- 8 participants
- Optimal
- 15
- Maximum per group
- 15. Above fifteen the program is reorganised and quoted separately
The reason is not commercial. The places we visit have capacity limits that sit between 10 and 26 people, and at more than fifteen a good part of an itinerary has to be split into sub-groups: the schedule changes, two guides are needed, and the cost per person does not fall — sometimes it rises. A group of 30 is a different product, designed separately, not the same product with more people in it.
We have no benchmark for this. None of the twenty training institutes we examined publishes a minimum and a maximum group size at all, so the figures above are ours and are derived from the published capacity limits of the venues, not from market practice.
What we hand over
Four things, to the institution and not only to the students. They are, deliberately, the four things a university office asks for everywhere: a named responsible person, a registration document, measurement, and a final report.
- A named responsible person for the whole duration, reachable 24 hours a day, plus a head of international programs as the administrative contact before and after. On the public website we publish the role and a functional mailbox; in the documents we hand you the person has a name, a direct contact and a signature, because there it is a requirement of your process and not promotional copy.
- A registration document for the program: the day-by-day schedule with times and addresses, total hours, the named list of the places visited, admission requirements, insurance cover and conditions. This is the document that goes into your file.
- A measurement: the signed attendance register day by day and hour by hour, actual hours per participant, and the deliverables received.
- A final report on the group — actual hours, visits made with the name of each venue, deliverables submitted per module, and any departures from the published schedule with the reason — handed to the institution within 15 working days of the return. The certificates go to each participant, not to the institution, and each one carries its verification code.
Cover and responsibilities
An insurance policy covering the whole stay is included in the program. The limits, the insurer, the policy number and the list of what is not covered are published in figures once the policy is taken out, and attached to the contract; until then they are available in writing, with a reply within two working days.
Cover described with an adjective is no use to anyone: the table goes live with real numbers or it does not go live. The benchmark we are measuring ourselves against is the cover that Tecnológico de Monterrey requires of its own students on mobility and publishes in figures: USD 210,000 for medical expenses and USD 100,000 for third-party liability. Those are their figures, published by them, quoted here as a benchmark and not as ours.
There is also a written medical-emergency protocol, handed to the institution with the contract and distributed to participants on day one: who is called first, which hospital is nearest to each site, who accompanies, who informs the institution and the family, and within what time. It exists today and we send it in draft on request, before signature.
What we do not do
Written by us, before anyone has to ask.
- We do not confer qualifications with legal validity, in Italy or anywhere else, and we award no academic credits. What we issue is on the certificate page, shown.
- We do not obtain visas, and nobody can. We prepare the letter of admission in the format the consulate requires.
- We are not a travel agency and we do not sell end-of-course trips. Transfers and accommodation appear in a quotation as separate, priced lines, so that the cost of the training can be read on its own.
- We do not provide placement, internships or introductions to employers. Company visits are part of the taught program, with a written teaching objective, an observation sheet and a deliverable.
- We do not accept participants under 18. Admission requires eighteen years of age at the date of departure, checked against the passport. This is a declared fallback, not a settled policy: if your group includes minors, write to us before anything else and you will get a date, not a maybe.
- We publish no student numbers, intake numbers, satisfaction scores or employment rates. We do not have them; the Institute is new and the first intake has not yet run.
The institutional dossier
One button, one file, no registration required to download it. Everything in it is also on this website: the PDF is the same content, laid out to be printed and put in a folder.
